The Johns Hopkins University Applied Physics Lab is seeking a Group Administrative Assistant to join our Communications department, to support creative groups dedicated to writing, editing, and multi-media design. We are also looking for experience with processing purchase orders effectively.  You will coordinate and procure supplies, materials, services, document purchase records, perform receiving function on orders, and reconcile credit card invoices on monthly statements.

 

The Communications Department is responsible for the internal and external communications for the Laboratory. Our messaging and multi-media design groups consist of roughly seventy professionals who work in media relations, writing, editing, and the creation of visual products, like graphics and videos. It’s a vibrant team of creatives who must be agile and responsive to the many needs of the Lab. This position will report to the supervisor of Financial and Business Operations.

 

As a Group Administrator…

  • Your primary responsibility will be providing administrative and operations support, including processing orders requested from COMMs staff for a variety of products/services.
  • You will interact with a diverse number of stakeholders such as our team of communications professionals, executives, Group Supervisors, Financial Managers, suppliers, and vendors to gather necessary information to generate procurement and subcontract requisitions in support of Department operations.  You will be responsible for reviewing Letters of Justification (LOJ), Statements of Work (SOW), vendor quotes and other necessary documentation to submit requisitions.
  • You will monitor requisitions through the system and report status, as well as interface with Laboratory purchasing staff to expedite requests.
  • You will process expenses and bills.
  • You will arrange travel for team members.
  • You will respond to employee inquiries about the Communications office and programs supported by it.

 

 

You meet our minimum qualifications for the job if you...

  • Have a minimum of a high school diploma with at least 5 years of administrative or office experience or a college degree with 3 years of administrative or office experience.
  • Have a demonstrated record of taking initiative and willingness to project a positive work attitude.
  • Have experience with purchasing supplies, materials or services
  • Possess the ability to develop and assess alternative approaches and to solve routine problems in a different, more efficient way.
  • Have the capacity to organize and reprioritize work assignments to meet evolving needs.
  • Have excellent interpersonal and organizational skills.
  • Have demonstrated communication skills (written and verbal) and excellent proofreading skills.
  • Are skilled in the use of desktop computer applications, including Microsoft Office applications like Outlook, Word, PowerPoint and Excel.
  • Are able to obtain a Secret level security clearance. Applicant selected will be subject to a Government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.
